Position Summary: The Surgery Scheduling Coordinator, responsible for managing the scheduling of surgical procedures including coordinating with patients, surgeons, and other medical staff to ensure timely and accurate scheduling. Schedule surgical procedures, ensuring appropriate timing, resources, and staff availability. Act as a liaison between the clinic and surgical facility.

Position Requirements

Education: High School Diploma or General Educational Development (GED) required.

Licensure: N/A

Certification: N/A

Experience: 2+ years previous employment in a healthcare environment and has knowledge of medical terminology with working knowledge of computerized scheduling system, previous customer service experience and computer experience preferred. Clinical background in surgery preferred. Must be very organized and display a high level of customer service. Knowledge of personal computers and ability to use Microsoft Word, Excel, Outlook and Internet. General knowledge of multi-phone lines, fax machine, copiers, printers and other general office equipment.

  • This position requires a great deal of time management.
  • Must be able to demonstrate calm and rational thinking and be able to communicate and provide detailed explanations in a clear and concise manner.
  • Must be able to multi-task with multiple interruptions in a fast-paced environment.
  • Strong communication skills: Ability to effectively communicate with patients, physicians and other healthcare professionals.
  • Medical terminology knowledge: Understanding of medical terms and abbreviations to interpret patient records accurately.
  • Knowledge of surgical procedures and instrumentation.

Essential Job Functions

  • Accurately and efficiently schedules patients for surgical procedures following established protocols.
  • Coordinating with surgeons and operating room staff to book surgery dates and times, considering procedure complexity and availability of needed equipment.
  • Ensures high Operating room utilization during normal hours of operation.
  • Monitors Operating room data to identify scheduling adjustment opportunities.
  • Provides physician offices and clinics with all pertinent information.
  • Maintains a high level of customer service. Utilizes positive interpersonal skills with both internal and external customers in the daily performance of duties.
  • Maintains confidentiality by understanding HIPPA regulations and demonstrates respect for patient rights.
  • Employee is responsible for all other duties as assigned for which competency has been demonstrated.
  • Completes items identified in work queues in a timely manner.
  • Leads and participates in performance improvement activities.
  • Attend and participate in department meetings.
  • Follow established guidelines as stated in the policies and procedures of the surgery scheduling department at OrthoNebraska.
  • Informs Assistant Manager/Manager of issues in a timely manner.
  • Other duties as assigned.

Physical requirements: This position is classified as Sedentary Work in the Dictionary of Occupational Titles, requiring the exertion of up to 10 pounds of force occasionally) up to (33% of the time) and/or a negligible amount of force frequently (33%-66% of the time) to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
